Office 365 vs. Google Workspace: Which Email Platform Is Right for Your NZ Business?
Choosing the right email and collaboration platform is crucial for any Auckland business. Both Microsoft 365 (formerly Office 365) and Google Workspace (formerly G Suite) offer powerful tools for email, communication, document management, and collaboration. However, each platform suits different business needs, sizes, and work styles.
In this practical guide, Auckland Geeks compares Microsoft 365 and Google Workspace specifically for NZ businesses. We’ll explore key features, pricing, ease-of-use, and integration capabilities, helping you determine the best choice for your team. Additionally, you’ll discover how Auckland Geeks simplifies platform migration and setup, providing trusted email and Internet set up services and ensuring a smooth transition and optimal productivity from day one.
Key Considerations When Choosing Your Email Platform
Before diving into specific comparisons, consider these critical factors to guide your decision:
- Business size and structure: Are you a small start-up, medium-sized business, or rapidly expanding enterprise?
- Ease-of-use: Does your team prefer familiar software like Microsoft Office, or do they value the simplicity of Google’s suite?
- Collaboration requirements: How frequently does your team collaborate online or share files?
- Integration: Do you need tight integration with third-party apps or existing software your business already uses?
Understanding your specific requirements first will significantly streamline your decision-making process.

Frequently Asked Questions
Business Standard gives you the desktop apps, Word, Excel, PowerPoint, Outlook, plus a 50GB mailbox, 1TB of OneDrive storage, Teams for calls and chat, and SharePoint for company files. It's the most popular plan for Auckland small businesses because it covers pretty much everything a normal team needs. Business Basic is similar but only web and mobile apps, no desktop. We can map out exactly which licence each person on your team needs so you're not overpaying.
Both are reliable for everyday meetings. Teams is more powerful if you're already in the Microsoft world, with chat channels, file sharing, and integrations into Office docs. Meet is simpler and lives nicely inside Gmail and Calendar. For external client calls, both work well. The honest tip is to pick the one that matches your main email platform, because mixing tools across the team usually creates confusion. We can set either up properly for your business.
Both let you share files across a team, but they're built differently. Google Drive is folder-based and very familiar to anyone who's used a normal computer. SharePoint is more structured, designed around sites and document libraries, and pairs tightly with Teams. For most small teams who just want shared folders, Drive feels easier. For larger or more structured businesses, SharePoint scales better. There's no wrong answer, the right one depends on how your team works.
For Microsoft 365, install the Outlook mobile app and sign in with your work account, your calendar and email both come down. For Google Workspace, use the Gmail or Google Calendar app the same way. The trick is not to also add the account to your phone's built-in mail and calendar apps as well, because then you can end up with duplicates. We can set this up cleanly on your phone in about ten minutes.
Yes, the full Microsoft 365 suite runs natively on Mac. Word, Excel, PowerPoint, Outlook and Teams all have proper Mac versions that look right at home on macOS. Files sync through OneDrive on your Mac just like they do on Windows. Plenty of Auckland businesses run a mixed team of Macs and PCs on Microsoft 365 with no issues. If you're switching, we can help install everything and migrate your files across.
For a standard new starter, you're looking at one licence per month, usually $30 to $40 NZD depending on the tier, plus a one-off setup if we're doing it for you. That's the licence itself. Hardware, like the laptop, is separate. The licence covers their email, Office apps, OneDrive, Teams and so on. We usually recommend ordering the licence a couple of days ahead of their start date so everything is ready on day one.
In Microsoft 365 you can share OneDrive or SharePoint links with anyone, with or without a Microsoft account, and you control whether they can view or edit. In Google Workspace, Drive sharing works similarly. The main thing to watch is sharing settings, you don't want to accidentally make a confidential file public on the web. We can set sensible default sharing policies for your team so this doesn't happen by accident.
This usually means a stored credential has gone bad or your account is being challenged for a security check. The reliable fix is to remove the account from Outlook, clear the stored credentials in Windows Credential Manager, restart, and add the account fresh. Nine times out of ten that sorts it. If your business has multi-factor authentication or conditional access policies, it can also be those rejecting the sign-in. Give us a call if it keeps coming back.
You can, but you usually shouldn't. Running both means paying twice, plus your team has to remember which platform holds what. That said, some businesses do use Google for email and Microsoft for Office apps, or the other way around. If you're stuck halfway through a migration or you've bought one company that uses the other platform, we can help you tidy it up and pick the right long-term home.
OneDrive is your personal work storage, 1TB for you, your files, only you see them unless you share specific things. SharePoint is the company's shared storage, where team folders and project sites live. Most businesses use both: OneDrive for "my work in progress" and SharePoint for "the team's files". Files in Teams channels actually live in SharePoint behind the scenes. We help businesses set up a sensible folder structure so people know where to put what.
